ACTION ITEMS AI-1. Artist Exhibitions. Consider approval of Cedars of Marin artist exhibition in the Lower
Gallery for October and November for one of the Emerging Artists exhibitions.

Subject: Artist Laureate Wall Project Budget Proposal
BACKGROUND
The Heritage & Arts Commission proposes dedicating a second-floor wall at Town Hall to display
artwork from past Artist Laureates. An ad hoc committee (Vice Chair Etemad, Commissioners Fong and
Feibusch) met with staff on January 21, 2025, to plan the installation, which requires new signage and
track lighting to match existing fixtures.
Estimated costs per Davis Sign Company and DC Electric:
• Signage: $350
• Track lighting: $10,000 (Town Manager to contribute $5,000 of this total expense)
• Installation accessories: $200
Town staff will be requesting two additional quotes for the lighting and will endeavor to keep the costs as
low as possible.
RECOMMENDATION
Approve $5,550 from General Fund for the Artist Laureate exhibit installation. Current General Fund
balance is $6,362.60; proposed expense would leave $812.60 through June 30, 2025.

Subject: Upcoming Expenses
BACKGROUND
1. Lobby Signage
The Heritage & Arts Commission requested an estimate of the expense to add signage in the Town Hall
lobby to advertise the hours of the art gallery and exhibitions. A design matching the existing window
lettering has been approved by the Town Manager.
The estimated cost for this would not exceed $220 to install vinyl lettering on the front window opposite
the existing Town Hall hours signage.
2. Custom Name Tags
There is a request to update our nametags for public events with the addition of Commissioner Feibusch
and Staff Liaison Miller. After looking into options, we found that permanent magnetic nametags would
be nearly as affordable as paper nametags in plastic sleeves, while looking much more professional.
RECOMMENDATION
Approve the order and design of Gallery Hours signage, not to exceed $220.
Approve purchase of eight custom magnetic nametags, not to exceed $150.
Both expenses would come from the General Fund.

Subject: FY2026 Budget Planning
BACKGROUND
The Town Council annually allocates $7,500 in General Fund for discretionary use by the Heritage &
Arts Commission. These funds will support operational needs including promotional banners, reception
supplies and refreshments, and additional operational requirements throughout the year. This fund
corresponds with the Town of Tiburon’s fiscal year, July 1 of the current year to June 30 of the following
year. As of February 20, 2025, there is $6,362.50 in this fund.
The Public Art Fund contains resources designated for public art exhibitions and opportunities to benefit
the town. As of February 2025, the current fund balance is $54,432.86, which comprises the initial Town
Council grant of $50,000, private donations, and accrued interest. All expenditures from this fund require
Town Council budget amendment approval. Private donations specifically designated for Public Art will
be deposited into this fund.
The Heritage & Arts Project Fund was established to manage funding and expenditures associated with
Heritage & Arts Projects, as documented in the FY22 audit. This fund receives commission fees from art
exhibition sales and donations designated for the Heritage & Arts Commission and accrues interest. As of
February 2025, the current fund balance is $9,251.16. A corresponding budget line item will be
established for FY2026, granting the Commission discretionary authority over these funds that were
generated through their artist promotion and exhibition efforts.
RECOMMENDATION
Create a Budget Ad Hoc Committee to create and maintain a budget for fiscal year 2026, which begins
July 1, 2025, to assist the Commission in planning small- and large-scale public art projects and events
that align with the mission of the Heritage & Arts Commission. Prepare report to be presented at a future
meeting before the start of FY2026.

Town Hall Art Gallery Management
PLANNING & SCHEDULE as early as possible:
• Develop list of artists to contact
• Review calendar of available dates for upstairs and downstairs
• Outreach to artist(s) and confirm interest and dates
• Arrange dates on schedule
COMMUNICATE with Artist:
• Dates for exhibition: Hanging and take down artwork
• Date for opening reception
• Send contract for signature
• Send contact information for Town staff liaison for logistics and coordination
PUBLICITY: as soon as dates are confirmed
• THE ARK—Six (6) weeks ahead or when dates are confirmed
o Contact Diane Smith to create a profile on the artist and promote the reception
and exhibit.
• H&A website: publish dates; notify Town for Tib Talk & Community calendars
• Banners—as soon as possible:
o Contact Dave Gotz to design and order at T
o Banner art: high-res image (jpeg, png or tiff) at least 5 Mb in size. Format of
banner should be a pdf, sized for 60" high x 72" wide.
• Artist can also do own contacts (emails; art cards)
EXHIBITION:
• The artist is responsible for hanging and removing their own artwork. Commissioners
may assist if needed.
• Stop by and check lights being turned on daily and that no heavy objects are set too
close to the artwork.
• Promote exhibition through your networks and community.
OPENING RECEPTION:
• Communicate with Town and contact for volunteers (Commissioners)
• Check on supplies (napkins; wines & water) and purchase as needed
• Event Day Set-up: Put white wines and water in refrigerator (Staff Room)
• An hour before reception: set up tables & tablecloths for food & drinks
• Clean-up: remove tablecloths and launder if necessary: put glasses in dishwasher, but
turn on the dishwasher the next day
