The scope of services would include the following: • Furniture and furnishings selected for all areas of the Town Hall. • Formulation of furniture bid package with coded floor plan, furniture specification booklet (including furniture tear sheets, colors, fabric and finishes, bidding guidelines, furniture delivery and installation procedures). • Oversee furniture bidding process. • Coordinate furniture installation Procedure The project will be designed and supervised by the designer, Susan Travis and other Interior Sources staff. Furniture will be selected to meet the requirements for the building and staff along with meeting the building codes and ADA guidelines. In order to meet budget constraints, new & used furniture will be investigated.. A furniture presentation will be made to the Town Hall project committee showing furniture styles, color, and fabrics, along with the interior finishes. One revisions will be provided to modify any finish and furniture elements that are not approved by the committee. Final furniture selections will be made and approved by the Town Hall's designated project committee. 12 APOLLO ROAD TIBURON, CALIFORNIA 94920 1-415-435-2079 - FAX 1-415-435-9209 Tiburon Town Hall Proposal, page 2 After final approval is given for the furniture, project documents will be produced. Interior Sources will supervise the furniture dealer selection and oversee the bidding process along with the Tiburon Town Hall Project purchasing coordinator. Once the furniture is set for delivery, Interior Sources personnel will oversee installation to verify its compliance with the plans and within reasonable standards of performance by suppliers and craftsmen. Schedule In order for the furniture deliveries to occur in mid January `97 to mid -February `97, the following schedule is proposed: Sept. 30 to Oct. 9th Review furniture plan, select furniture & compile costs Oct. 10th Presentation to Town Hall Committee Oct. 17t Obtain final approval for furnishings, including the proposed changes. Oct. 18th to Oct. 31St submit applications to bid or. Nov. 1 st Nov. 8th-11th Nov. 15th Jan. 15th to Feb. 15th Create bid documents. Select or invite furniture vendors to i furniture package. Issue bid packages. Review bid submissions and award bid to vendor. Furniture vendor places orders. Delivery of furniture Fees qe-o- Interior sources will provide the scope of services stated for a not to exceed amount of $0 based on the hourly rates and in accordance with the hourly rate schedule listed below: a. Principal Designer at $85/hr. b. Project Designer at $55/hr. c. Design Assistant at $20/hr. d. Reimbursements of design related cost including blueprinting, long distance calls and any other related expenses. ,,a cal R Should the scope of this proposal change, Interior Sources will discuss the impact of those changes on the schedule, budget or estimate. Tiburon Town Hall Proposal, page 3 Services of outside consultants are not part of the design services contemplated by this contract and shall billed separately to the client. Designer will select and will assist client in hiring consultants, only if needed. We can comply with the Town Hall's building schedule for occupancy in Jan.-Feb. of 1997 providing furniture orders are placed by November 1, 1996. This proposal is valid until October 1, 1996. If this proposal is accepted, we will submit a letter of agreement for your approval. Some items from the Mill Valley Services Co. may work well for the Town Hall's space but many some items chosen could be replaced with more efficient or sturdier models. For example, the corner work surfaces utilizied by staff behind the lobby counters could use open office systems furniture that would give them more storage and equipment handling options. In addition, furniture panels surrounding their stations would provide privacy and a quieter work area. If we are selected to work on the furnishings for the Town Hall, we would find furniture that fit your budget, plus provide the following: • furniture to accomindate computers • storage for staff and departments • flexibility for individual staff's needs • furniture that is durable As I mentioned to you, we have found some sources of refurbished systems furniture for other jobs and I think this type of system could be beneficial for the budget and to furnish several areas. The other area to explore is the buying consortiums that are available to public entities, such as the town of Tiburon. In figuring the fee for this project, we can use the initial proposal I made to BSAR of $6500 even though we will be on a tight schedule to meet the installation deadlines and will incur some additional staff time. However, I would like to offer my design services to work with you and BSAR on the interior finishes. BSAR mentioned they are concerned with the interior finish changes that are being made possibly without checking the other interior elements. Thanks for the opportunity to work on this project.
